What is Employee Self Service - Desktop ?

Employee self-service, or ESS, is an available feature with most modern HR Services. ESS allows employees to take care of many different human resources-related and job-related tasks that would otherwise need to be completed by human resources personnel or management.In this feature employee is able to use ESS on only desktop.

Overview :-

In Zenscale, Employee self-service software (sometimes called an employee portal) allows employees to view and manage their payroll . Each employee has their own login information to an individual account.

The self-service portal for employees can be a huge time saver for user. Employees can do more payroll and HR tasks on their own. When employees are less reliant on you, you have more time to run your business.

What your employees can do in the employee self-service (ESS) system depends on what you and your system allow.

Use Case :-

To save time, the HR at Abhishek Industries Private Limited Company uses the Self Service App that enables employees to access the payroll on their system or Desktop. Employees can directly apply for leave online and managers can approve or cancel the request from anywhere. Besides, employees can view their attendance, download salary slips, and check salary details without bothering the HR.

Steps to be performed :- In desktop self service user have many options which is described below:-

1. Expense Claim :- Expense Claim is money that an employee spends on things such as food and travel while they are doing their job, which their employer then pays back to them.

2. Short Leave :-Short leave is a leave which is given to employee for some hours or short time as depending company policy.

3. Leave :- When working with an organization, every employee is entitled for certain number of leaves per year. These leaves are excluding holidays and weekly offs, and can be availed in accordance with the company rules and policies. The most common leave types are Earned Leave, Sick Leave, Casual Leave, Maternity leave etc. Every leave type can be only exercised under some defined conditions.

4. Attendance :- This is a feature which can provide the IN/Out punch details on Desktop.

Follow below steps to know how to check Attendance details by Desktop :-

1. Login With login credential.

2. Click on View In attendance

3. User can easily view the IN/OUT punches in Attendance

5. Salary :-This is a feature that is given the proper access to user to view there salary details i.e Deductions and Net payable.

Follow below steps to know how to check salary details by desktop :-

1. Login With login credential.

2. Click on View In Salary

3. User can view the salary details and pay slip from this page

4. Click on Pay Slip

6. Official Duty :- In many large organizations, a lot of movements take place every day. It may be employees moving in or out. All these movements of the organization’s premises, factories, and companies need to be monitored and controlled. This is where the concept of a gate pass(Official Duty) comes into play. Gate pass(Official Duty) can be used to authorize the movements of employees from the premises of the organization. It will help to monitor and track all the movements happening in an organization.

Follow below steps to know how to apply Official Duty by Desktop :-

1. Login With login credential.

2. Click on Apply In Official Duty

3. Select From Date and To date

4. Select From Time and To time

5. Input Remarks and click on Apply & Continue.

6. Official duty apply successfully

7. User can view the OD status with the click of report icon

8.TDS :- The TDS feature allows the management to pre-define the TDS rate that will be applied on all the salaries which are paid out by the company. This rate is levied automatically.

Follow below steps to know how to apply TDS :-

1. Login With login credential

2. Tax saving > Apply

3. Click on Saving

4. Click on Saving type

5. Select year and Input amount

6. Click on Add Files if you have any documentary proof

7. Click on Save & Continue

8. User can view the the details with the click of report icon

9. Loan :- A loan to an employee is money advanced paid by the company to the employee. If the employee is expected to repay the loan within a defined date, the loan balance is a current asset of the company.

Following below steps to know loan details :-

1. Login With login credential

2. Loan Report> View

3. User can view the details related loan

10. Mark Attendance :- Mark Attendance is a feature this helps a company’s management to keep track of employees’ attendance status.

Following below steps to know about Mark Attendance :-

1. Login With login credential

2. Mark Attendance > Apply

3. Select Day Type i.e Full Day or Half Day

4. Select Shift

5. Add remarks and Location

6. Click on Apply & Continue.

11.Self Attendance :- This feature is use for applying the attendance from employee side by desktop.

Follow below steps to know about this feature :-

1. Login With login credential

2. Self Attendance > Apply

3. Select Shift and Date

4. Select IN time and click on save.

5. Attendance saved successfully
